The Retreat at Balcones Springs is a weekend, not an afternoon. Guests sleep on site, the rehearsal dinner happens in the Rose Garden, and by Saturday everyone already knows the way down to the Amphitheater. For us that means more to film and less time lost driving between locations.

Getting ready in the cabins
Couples here usually get ready in rooms a short walk apart. We have filmed brides in the Upper Thicket Room, the Big Thicket and the Longhorn Room, with grooms in the Bluebonnet Room. Because everything is on the property, one of us can cover each side and still meet up for the first look.
The Live Oak Room tends to serve as the vendor room, which is where meals and drinks for the band and crew end up. Breakfast and lunch for the whole group are typically served in the Rio Grande.
The Amphitheater ceremony
Every ceremony we have filmed here started at 5:30 in the Amphitheater, which the venue describes as overlooking Lake Ted. Guests gather at the top of the hill, where the staff sets a water station, and the processional walks down toward the altar.
The Retreat provides the lapel mic and sound system for the officiant, which helps us. We still put our own recorder on the officiant or groom, because an outdoor hillside picks up wind. One planner had the bride ride a venue utility vehicle from the bridal suite to the Longhorn Room before the walk, which kept her dress clean and her timing exact.
Cocktail hour, portraits and the Pavilion
Cocktail hour runs on the Pavilion front lawn while family photos happen back at the ceremony site and wedding party photos move into the nearby field. The Rose Garden has worked well for first looks and couple portraits before the ceremony.
Receptions we have filmed were in the Pavilion, with the side walls rolled up after cocktail hour and the back wall left down. In April the sun set around 8:00, so the best light came during dinner. Plan a ten to fifteen minute escape for sunset portraits right after the main course is served.
Late nights and logistics
Receptions here run late, then move. We have seen send-offs at 11:00, 11:30 and close to midnight, each followed by an after party at The Thicket or the Longhorn Room and Rose Garden. Decide in advance whether you want any of the after party filmed, since most of our coverage ends with the send-off.
Catering is in house and the venue operates as a private club, so all alcohol is bought and served through The Retreat. Guests who stay off site often come in on buses from Horseshoe Bay, so build shuttle timing into the afternoon.
- Vendors park in the lot and load in by the Pavilion, the front circle drive or the Amphitheater.
- The venue says it keeps several built-in weather options, including the climate-controlled Rio Grande.
- A Friday bonfire at The Pond is a good rehearsal-night moment to film if your package covers it.

Where does the ceremony usually happen at The Retreat at Balcones Springs?
The weddings we have filmed held the ceremony in the Amphitheater, with guests gathering at the top of the hill before walking down. The venue also lists the Rose and Herb garden and the indoor Rio as ceremony options.
Can we bring our own caterer or alcohol?
No. The venue requires its in-house catering for events and operates as a private club, so no outside alcohol is allowed.
Where do people get ready?
On site. Couples we have filmed used the Upper Thicket Room, Big Thicket or Longhorn Room for the bride and the Bluebonnet Room for the groom.
What happens after the reception?
Most couples here move to an after party on property, often at The Thicket or the Longhorn Room and Rose Garden, after a send-off between 11:00 and midnight.
